Adyen Payment Processing Set-up Guide

Overview

Total Drive’s payment processing system, powered by Adyen, allows pupils to pay for driving lessons directly through the Total Drive Pupil App or your website. This guide walks you through the setup process via the Total Drive Web Administration portal.

1. Before You Start

  • Ensure your Total Drive account has been active for more than 30 days (setup is restricted for newer accounts).

  • We run a DVSA check on all accounts, please email support@totaldrive.co.uk a photo of your PDI/ADI license and your driving license

  • You will need:

    • Your Total Drive PIN

    • The same username and password used for the instructor app

  • Access the Web Admin at: web.totaldrive.app

2. Step 1: Access the Book & Pay Setup

  1. Log into the Web Admin.

  2. Click Tools (top right).

  3. Select Book & Pay Setup.

  4. Click the Book & Pay tab.


3. Step 2: Configure Your Adyen Account

This step connects your payment gateway and determines who pays the processing fees.

  1. Fee Responsibility

    • Use the slider to select whether you or the pupil will cover the Adyen service fees.

    • Click Save.

  2. Account Details

    • Complete all required personal and business information fields.

    • Click Manage Account.

  3. Bank Details

    • Enter your bank account information for payouts.

    • Once your Adyen account is active, proceed to the Pay tab.


4. Step 3: Set Up Payment Categories

Categories help organize your products and control where they are displayed.

Adding a Category

Each category requires:

  • Title (e.g., “Driving Lessons,” “Pass Plus”)

  • Visibility Settings:

    • Show in App: Available only in the Pupil App.

    • Show Online: Available only via external payment buttons/links.

    • Show in App & Online: Available in both.

Category Examples

  • Single Category: “Driving Lessons” if you charge one standard rate.

  • Multiple Categories: Useful for:

    • New vs. existing pupil rates

    • Different lesson types (Motorway, Trailer, Pass Plus)

      Block booking discounts (5-Hour Block, 10-Hour Block)

    • Once categories are set, save and proceed to Products.


5. Step 4: Add Products

Products are the specific items pupils can purchase within each category.

Adding a Product

For each product, fill in:

  • Title (e.g., “1-Hour Lesson”)

  • Subtitle (optional description)

  • Category (select from existing list)

  • Price

  • Duration (in minutes or hours)

  • Gearbox (Auto/Manual/Any)

Personal Rates (Overrides)

You can set individual pricing for specific pupils in their profile. This is useful for:

  • Special rates for friends/family

  • Legacy pricing after a general increase

  • Area-based pricing variations

Note: Personal rates override category product prices for that pupil.


6. Step 5: Configure Payment Widgets

Widgets allow you to accept payments outside the Pupil App—via your website, social media, or direct links.

  1. Enable Payments

    • Set Take Payments to On.

  2. Select Who Can Pay

    • Active Pupils: Only existing pupils via the Pupil App.

    • Anyone: Existing pupils + new pupils via widgets/links.

  3. Widget Options

    • Link: A direct URL to share via email, text, or social media.

    • iFrame Code: Embeds the payment portal directly into your website (provide this to your web developer).


7. Important Notes & Next Steps

  • Existing Pupils: Ask them to log out and back into the Pupil App to refresh payment options after setup.

  • New Pupils: Can pay via your website or payment links once widgets are enabled.

  • Support: Contact Total Drive if you encounter issues during Adyen account verification or setup.
