Managing Pupil Status: Active & Inactive

This guide explains how to make a pupil inactive, where to find them afterwards, and how to restore them to your active or waiting list.

Making a Pupil Inactive

Use this option when a pupil pauses their lessons or leaves, but you want to keep their record for future reference.

  1. Log in to the Web Admin at https://web.totaldrive.app

  2. Navigate to Learners > Pupils from the main menu

  3. Select the pupil you wish to make inactive from the Active Pupil List

  4. Go to their Profile tab
  5. Click the "Make Inactive" button


ResultThe pupil's profile is archived. They are removed from your active list but their data is not deleted from the system.






Inactive Pupil List

You can view all your archived pupils in one place.

  1. Navigate to Learners > Inactive from the main menu

From this screen, you have two options for each pupil using the dropdown menu on the right:

Delete PupilSelect "Delete" from the dropdown menu.Important: Before deleting a pupil, you must first remove all their future lessons from the diary.
Restore PupilSelect either "Make Active" or "Move to Waiting" from the dropdown menu.This will move the pupil back to your main pupil list with the chosen status.




Restoring a Pupil from Inactive

Follow these steps to bring a pupil back from your inactive list.

  1. Go to the Inactive Pupil List (Learners > Inactive)

  2. Find the pupil you wish to restore

  3. Click the Action dropdown menu to the right of the pupil's name

  4. Select either:

    • "Make Active" to add them back to your current teaching list

    • "Move to Waiting" to place them on your waiting list

Recommendation for long-term inactive pupils: If a pupil has been inactive for a while, you may wish to send them a new app invite after restoring them. This will refresh their password and login credentials, ensuring they can access the app again.
