Important Note: In this system, phone numbers serve as usernames for both pupils and parents. If the same phone number is used for two different accounts, both accounts will be locked until the issue is resolved.

Overview

When a parent has two or more pupils in your system, you'll need to create separate logins for each pupil while ensuring the parent can access both. Follow this guide to set up parent access without triggering account lockouts.


Step-by-Step Instructions

Step 1: Access the First Pupil's Profile

  1. Log in to the Web Admin portal https://web.totaldrive.app/login

  2. Navigate to Learners and select the first pupil's name

  3. Locate the parent profile you created for this pupil

    • Make a note of the phone number used here



Step 2: Access the Second Pupil's Profile

  1. Go back to Learners and select the second pupil's name

  2. Click the "+ Contact" button to add a new parent contact


Step 3: Add Parent Contact for Second Pupil

  1. Enter the parent's details, using the same phone number as the first pupil

  2. IMPORTANT: Before saving, locate and uncheck the option "Send contact login details by text message"

  3. Temporarily change the last digit of the phone number

    • Example: If the real number is 0412 345 678, enter 0412 345 679

  4. Save the contact

  5. Make a note of the changed number you used







Final Step: Provide Login Details to Parent

Since the system couldn't send automatic login details, you'll need to manually notify the parent:

  1. Send an SMS (or WhatsApp message) directly from your phone

  2. Include the correct login details:

    • Username: [The parent's actual phone number]

    • Password: [The password you set up]
